Not every business problem needs bespoke software.
Sometimes the correct answer is to buy an existing product and get on with running the business.
But there are situations where trying to force your process into off-the-shelf software creates more problems than it solves.
A simple way I'd look at it:
Choose off-the-shelf when:
• the process is fairly standard
• a mature product already solves most of the problem
• you can adapt your process without losing anything important
• the subscription cost makes sense
Consider bespoke when:
• your workflow is genuinely different
• staff are maintaining workarounds around existing software
• the same data is repeatedly entered into multiple systems
• you're paying for several products to complete one process
• your process creates a competitive advantage
• integrations could remove significant manual work
There's also a third option that often gets overlooked: don't replace everything.
Keep the software that's already good at its job and build the missing layer around it — integrations, automation, reporting or a bespoke interface.
The best solution isn't necessarily 'build' or 'buy'.
It's the one that solves the operational problem with the least unnecessary complexity.
